Privacy policy
We are a family bakery, not a data business. This page explains, in plain English, what information we hold about you, why, and what your rights are under UK data protection law (UK GDPR and the Data Protection Act 2018).
Who we are
Kongwa Bakes is run by The Kongwa Family in Medway, Kent. For anything in this policy, the person to contact is us, at hello@kongwabakes.com.
What we collect and why
Orders. When you order, we receive what you ordered, the Saturday you chose, whether you want collection or local delivery, and anything you typed in the notes. Your name, email address, phone number and delivery address are collected on the payment page by Stripe, and passed to us so we can bake your order and get it to you. We keep this in our email inbox and in our Stripe account, not in a database of our own.
Payment. Payments are handled by Stripe Payments UK Ltd, who act as a separate data controller for the payment itself. We never see or store your full card details. Their privacy policy is atstripe.com/gb/privacy.
Your postcode. When you type a postcode to check whether we deliver to you, we send that postcode alone to postcodes.io, a free UK service built on Ordnance Survey and ONS data, to find out which local authority it sits in. Nothing else about you goes with it, and we do not keep a record of who searched for what.
Catering enquiries. If you use the catering form we receive your name, email address, any phone number you give us, and the details of your event. We use it to answer you and nothing else.
Sending you email. Order confirmations and enquiry replies are sent through Resend, an email provider acting on our instructions, and our own email is hosted by Google Workspace.
Analytics. We use one privacy-friendly analytics tool to understand how the site is used. It loads only after you consent via the cookie banner, does not use advertising trackers, and does not follow you around the internet.
What we do not do
We do not sell your data, share it with advertisers, or use advertising trackers of any kind. We do not send marketing emails unless you have clearly asked for them, and you can stop them any time.
Our lawful basis
For orders, we process your details to perform the contract you entered into when you paid. For catering enquiries and any other message, we rely on our legitimate interest in answering you. For analytics, we rely on your consent, which you gave through the cookie banner and can withdraw at any time.
How long we keep things
We keep order information only as long as we need it to fulfil your order, handle any follow-up, and meet our legal duties. HMRC requires us to keep records of a sale for six years, so paid orders are kept that long. Catering enquiries that do not turn into a booking are deleted within twelve months.
Your rights
You can ask us at any time to see the information we hold about you, correct it, delete it, or stop using it. Emailhello@kongwabakes.com and we will sort it within a month. If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office atico.org.uk.
Changes to this policy
If we change how we handle your data, we will update this page and, for anything significant, tell you directly.
